Ruffing Parent Association Meeting Minutes from February 24^th, 2010

Wednesday, February 24^th, 2010 attendees:

PA Board – Nivi Engineer, Doug Fleck , Karen Hahn , Melissa Gleeson , Nital Subash

Nivi Engineer called the meeting to order at 5.40 pm.

First on the agenda was old business. We reviewed the status of the Pumpkin Party planning guide and discussed the location of the Pumpkin Party going forward. Next up we went over the need for a volunteer list so we could make sure all those that have volunteered over the school year would be invited to the end of the year thank you party. Doug Fleck, Volunteer coordinator, has a list and it is being fine tuned to make sure it includes everyone. Lastly for old business was the status of the Valentine’s Party. The Valentine’s party is not a PA sponsored event. It is orchestrated by class parents, on a class by class basis.

Second on the agenda was new business. Per the treasurers report the PA budget exceeds budgeted amount by $29. The estimated 2009-2010 budget was $9,250 verses the actual which was $9,279. At this point we also reviewed the status of the box tops, which is going very well, bringing in $305 thus far this year, which is above our estimated amount of $250. We made a note to include helpful hints in the next Ruffing Today to remember no expired or improperly trimmed box tops.

Thirdly, we highlighted next year’s board. The returning board members are Nital Subhas (Class Parent Coordinator), Ramesh Belli (Technology Coordinator), and Steve Paulini (Mentor Liaison). The board positions that are available are President, Vice President, Treasurer, and Secretary. The current class parents need to find people to fill their roles, and we need to secure CCIS representatives. At this point we also discussed the idea of the class parent role being a two year commitment, so that there would be a new class parent and an experienced class parent.

Up next on the agenda was Holi. Nital Subhas and Nivi Engineer are coordinating this for the Toddler class and Children’s House entailing going into the class rooms reading a book about Holi and doing some coloring.

Grandparents/Special Persons Day is being chaired by Robin Ritz, the planning is going quite well, volunteer recruitment is already occurring through LRT and Ruffing Today; Robin will let us know if they need anything as the date approaches.

The Great Kids Race is scheduled for May 14th, with Kate Offutt as the chair being assisted by Vikki Nowak. Volunteer recruitment will occur once the flyers are sent out.

Lastly we discussed the progress of the Staff Appreciation Dinner. Karen and Peter Sullivan will be hosting at their home, and Nivi is working on securing a date that works for them, and the school calendar. The menu for the dinner is still in the development stages, catering verses Ruffing parents preparing the food. We will start to recruit volunteers in mid May. The gift we will be giving the staff this year are thank you letters from students and parents. We are looking for a person to chair the coordination and presentation of the thank you letters to the staff.
